The cabinet that looks fine in a catalog photo is the one that binds on the third drawer after a wet season, or arrives with a lock that cannot be mastered to the rest of the floor. Both complaints show up after installation. That is a bad time to discover the quote never mentioned anti-tilt, slide type, or which white you actually bought.
If you distribute office furniture, or you are buying a floor of storage for a fit-out, treat the filing cabinet as a written spec. A thumbnail is not a spec.
Lateral and vertical solve different rooms
Vertical cabinets are the tall, narrow ones. A common export size for a 4-drawer is about 1320 mm high, 470 mm wide and 620 mm deep, handle included. They suit archive rooms, back offices, and any wall that has already been chopped into short runs. People stand beside them and pull a drawer into the aisle, so you want roughly 800 to 1000 mm of clear pull space. Skip that measurement and the drawer hits a chair every morning. The chair always wins the argument.
Lateral cabinets are wider than they are deep. Files hang left to right, so the cabinet sits shallower in the room. A 2-drawer lateral is what most manager offices actually need under a window or beside an
executive desk, used as a credenza more than as an archive. The cost is wall length. A 900 mm lateral uses a meter of wall that a vertical cabinet would have left for a printer.
Don't put one type on the whole order because the photo set only showed verticals. Aisles and archive rooms take vertical. Reception returns and manager offices usually want lateral. If a lateral has to sit against a desk return, send the desk depth with the cabinet depth. The 20 mm you save on a spreadsheet is the 20 mm the drawer needs on site.
Steel thickness is where a cheap quote hides
Ask for three numbers: body, drawer front, and the inner drawer box. On commercial steel cabinets a body around 0.6 to 0.7 mm and a front around 0.8 to 1.0 mm is a normal wholesale range. A line that only says "steel filing cabinet" can be 0.5 mm all the way through. It will pass a photo check. It will dent when someone drops a box of paper on the top drawer, which someone will.
The top takes more abuse than the side, because people treat filing cabinets as extra worktops. If this project will do that, say so. A reinforced top is a different part, not a thicker coat of paint.
Name the paint as powder coat plus a color code, RAL or a physical chip, and say whether the interior is the same color. Two-tone interiors are common and easy to miss on a reorder six months later. "White" is not a code. RAL 9016 and RAL 9003 are both white, and they do not match once they are on the same wall.
Slides, anti-tilt, and the lock
Ball-bearing slides and nylon rollers are different products that look similar in a closed photo. Rollers are quieter in a showroom and cheaper on a spreadsheet. They also drop and rack sooner once the drawer is loaded with hanging files, which are heavier than empty folders suggest. For a commercial floor, write ball-bearing slides and a load figure. 25 kg or 35 kg per drawer is enough to hold a supplier to something.
Anti-tilt means only one drawer opens at a time. Without it, a full top drawer and a full third drawer can tip a vertical cabinet forward. A lot of office projects, and plenty of public bids, require the interlock. If the quote is silent, assume it is not in the price. Adding it after the tools are made is a new part.
Locks need their own sentence. There are three different requests hiding inside "with lock and 2 keys":
· Central lock. One key throws every drawer.
· Individual locks. One cylinder per drawer, which is what shared cabinets in a studio usually need.
· A master-key plan. Facilities opens any cabinet. Staff open only their own.
If the building already runs on a key system, send that requirement before powder coating. Swapping cores afterwards is slow, and the paint around the new cylinder never quite matches the door.
Write this on the purchase order
A filing-cabinet line a factory can cut without another week of email looks like this:
· Type: 4-drawer vertical, or 2-drawer lateral.
· Size: width × depth × height, and whether the handle sits inside that depth.
· Body, front, and drawer-box steel thickness.
· Slide type and rated load. Anti-tilt: yes or no.
· Lock: central, individual, or master-key, plus the number of keys.
· Color code and interior color. Leveling feet or a plinth.
· Packing: knock-down carton or assembled crate, with CBM.
· Label: PO number, item code, and the floor or room if this is a fit-out delivery.
Knock-down packing is normal for steel cabinets and it saves a serious amount of container space. The failure mode is a missing screw, or a slide that traveled in the wrong carton. Ask for hardware bagged and labeled per cabinet, with a one-page assembly drawing in the first carton of each item code. One drawing for the whole container will be in the carton the installer opens last.
What to do with the sample
Open every drawer. Load them if you can, even with reams of paper. The gap around the front should stay even when the drawer is halfway out. Lock it and unlock it. A key that binds at the end of the throw will bind worse after the cylinder takes a little dust. Tip the empty cabinet a few degrees and check that anti-tilt actually stops the second drawer. Then look along the side panel in raking light.
Powder coat that is thin at the edges looks acceptable in a factory yard and tired in a white office.
Lanran builds filing cabinets in the same plant system as the desks, so a mixed floor of steel storage and melamine
workstations can leave on one order. Send the cabinet list with the desk list if they share a wall. Matching a lateral cabinet to a return after both have shipped is how projects grow a 15 mm gap that nobody owns.
If you already know the drawer count, the lock type, and the color code, send those three with the quantity. A quotation goes faster from that than from a Pinterest board of "modern filing."
Questions buyers ask before they order
Is a lateral filing cabinet more expensive than a vertical one?
Often yes, per cabinet, because the front is wider and the slide span is longer. Per filing inch, in a shallow office, it can still be the better buy. Compare the two on the plan, not on the unit price alone.
Can filing cabinets ship flat-pack?
Yes. Most export orders ship knock-down. Assembled crates are worth the cube only for small quantities, glass-front models, or a site that has nobody to assemble.
What if the client only said white?
Pin it to RAL 9016, RAL 9003, or a chip they sign. A reorder from memory will not match, and the mismatch shows up exactly where the new cabinet touches the old one.
