Wrong-size workstations are rarely a factory mistake. They’re usually a drawing mistake that nobody caught before the PO.

Here’s how distributors and fit-out teams avoid that — especially when ordering from a China office furniture factory for the first time or the fiftieth.

Send a scaled floor plan. Mark doors (and swing direction), windows, columns, and power points. A four-person cluster that fits a blank rectangle may not fit once a column sits in the middle of the bay. If you only have rough room sizes, say which walls are approximate. Factories can suggest layouts; they cannot invent your column locations.

Pick cluster type by room shape, not by catalog fashion. Two-person desks suit narrow rooms and window lines. Four-person clusters are the default for open floors — decent density, shared screens, easier cable runs. Six-person and larger modules work in wide rooms but are harder to reshuffle when headcount changes. Leave walking space. Behind seated staff, aim for about 900 mm clear. Main aisles toward exits or meeting rooms feel better at around 1200 mm. If your local code is stricter, use the stricter number. Tight walkways create chair collisions and complaints within weeks.

Partition height: choose for the work, not the photo. Around 1100 mm keeps light and collaboration. 1400–1500 mm adds privacy for phone-heavy teams but can darken low-ceiling rooms. Mixed heights in one office are fine if zones differ.

Desktop size and storage. Confirm depth for monitors, and whether each seat gets a mobile pedestal or shared cabinet. Storage added later often breaks the aisle width you just protected. Ask for overall dimensions with pedestals included.

Materials. Commercial workstations commonly use melamine-faced boards with E0/E1 grades and steel frames where required. Confirm frame color, board finish code, and edge banding. Sit-stand frames, if needed, should be on the first quote — adding them later changes cost and lead time.

What to write in the inquiry: headcount per zone, preferred 2/4/6 cluster, partition height, board color, pedestal yes/no, ship window, and the floor plan. Attach photos of a previous phase if you’re matching an existing office.
